JOB SUMMARY
Provide support to Base Management and deliver outstanding hospitality by providing administrative support to the Inflight Employees. Assists Flight Attendants, Supervisors and Base Management with any duties to coordinate overall Base functions and departmental administrative functions as assigned. Participates in special projects as needed.

RESPONSIBILITIES
Responsible for note taking for Base Leadership during Fact Finding Meetings
Responsible for organizing and facilitating all Staff outings and Flight Attendant Appreciation Days
Responsible for the processing and distribution of all invoices (Accounts Payable)
Maintain inventory and distribution of all loaner manuals (IEFB) and ensure all are in compliance and up-to-date
Provide appropriate documentation to Inflight Supervisors for the proper documentation of Flight Attendants' files
Order and maintain all four-part pass inventory. Prepare monthly audit report for HDQ
Maintain professional presence at Base Customer Service Desk and deliver hospitality to all Internal and External Customers
Answers calls, relays and takes messages, transfer calls, gives information and provides assistance to callers
Opens, sorts, screens and responds to incoming mail (Comat, FedEx, Boardmail, US Mail)
Processes all loaner uniform and loaner luggage (monitors and orders inventory, distributes, and notifies appropriately)
Processes, orders, distributes, and notifies F/A's with regard to expired ID's
Responsible for filing of Flight Attendant correspondence and communication (Luvlines, OnBoard, letters, memos, etc)
Stock and inventory all Company related forms and documents to ensure availability
Ensures all documentation received from Flight Attendants is processed daily
Provide assistance and computer support for all Inflight Base computers and copiers. Oversees that they are stocked and are in proper working condition
Responsible for maintaining Employee recognition activities/events (Baby-boards, Birthdays, Company Anniversaries, Spirit Walls, Flight Attendants of Month, and Employee of Quarter)
Sends all appropriate Get Well, Thank you, Thinking of You, etc. cards as needed
Establishes meeting time, secures location and contacts attendees regarding fundraising events and outside activities
Responsible for all incentive pass and parking permit distribution
Coordinates reservations, passes and hotel accommodations for staff members or visitors
Responsible for monitoring and ordering all Inflight Base office supplies
Ensures Flight Attendant lounge presents a neat and tidy appearance at all times
Process, review and distribute Irregularity Reports on a daily basis
Process and coordinate within mandated timeframes all Customer Relations, FAA, FBI and TSA Irregularity reports
Assist and provide support for all functions related to opening a new Inflight Base
Must be able to meet any physical ability requirements listed on this description
May perform other job duties as directed by Employee's Leaders

KNOWLEDGE, SKILLS AND ABILITIES
Must be able to communicate effectively with Internal Customers, both face to face and through written communications
Must possess strong organizational skills
Must have judgement sufficient to handle and resolve issues related to accounting and policy matters
Must be able to perform Ten-key by touch
Must be decisive, show attention to detail; be able to meet deadlines and work flexible schedule
Ability to type with sufficient speed to meet demands of job
Operate multi-line telephone with courtesy and speed

EDUCATION
Required: High School Diploma or GED
Preferred: Some college coursework

EXPERIENCE
Required: 1 to 2 years of work experience in office related duties

LICENSING/CERTIFICATION
Non-DOT position

PHYSICAL ABILITIES
Ability to perform work duties from limited space work station/desk/office area for extended periods of time
Ability to communicate and interact with others in the English language to meet the demands of the job
Ability to use a computer and other office productivity tools with sufficient speed and accuracy to meet the demands of the job
Must be able to lift, carry or move 5lbs

OTHER QUALIFICATIONS
Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines.
Must be a U.S. citizen or have authorization to work in the United States as defined by the Immigration Reform Act of 1986.
Must be at least 18 years of age.
Must be able to comply with Company attendance standards as described in established guidelines.
